Privacy Notice
Last updated: October 2026
This notice explains, in plain English, how ClemoTech AV uses the personal information you give us through this website, by telephone or by email.
Who we are
ClemoTech AV is the data controller for the personal information described in this notice. We are an audio visual installation business serving customers across London, Surrey and Kent.
If you have any questions about this notice or your information, email info@clemotech.com.
Information we collect
When you complete our quotation form, we may collect:
- your name
- your email address
- your telephone number
- your postcode
- the service you select
- the description of your project
- the date and time you submitted the form
- the page of the website you came from
- your acknowledgement that we may use your information to respond to your enquiry
We also keep any later correspondence between you and ClemoTech AV about your enquiry or work.
How we use your information
- to respond to your enquiry
- to understand the work you are asking about
- to prepare quotations
- to contact you about the services you have requested
- to keep appropriate enquiry and customer records
- to operate and secure the website
- to meet legal, accounting and regulatory requirements
- to handle complaints, disputes or legal claims where necessary
Completing the quotation form does not add you to a marketing list. We do not sell your personal information.
Our lawful bases
Depending on the situation, we rely on one or more of the following:
- Steps before a contract — when you ask us for information or a quotation.
- Performance of a contract — when we carry out work you have agreed.
- Legitimate interests — in responding to enquiries, keeping sensible records and running our business.
- Legal obligation — where the law requires us to keep or share information, for example for tax and accounting.
- Consent — only where we specifically ask for it. You can withdraw consent at any time.
How long we keep information
We keep information only for as long as we need it for the purposes above:
- Enquiries that do not lead to work are kept for as long as is reasonably needed to respond and follow up, and then deleted.
- Customer and job records are kept for as long as needed to support the work, any guarantee and any after-care.
- Financial and accounting records are kept for the periods required by law.
- Records about complaints or claims are kept for as long as needed to deal with them.
Who we share information with
We use carefully selected service providers who help us run the business. They may handle your information on our behalf for:
- website hosting
- database storage of enquiries
- delivering email notifications about enquiries, once this is set up
- Microsoft 365 and our business email
We may also share information with professional advisers, such as accountants or legal advisers, where appropriate, and with authorities where the law requires it.
This website loads its fonts from Google Fonts, so your browser connects to Google's servers to fetch them.
Keeping information secure
Enquiries are sent over an encrypted connection and stored in a database that visitors to the website cannot read. Access is limited to people who need it to respond to you.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use your information
- object to us using your information on the basis of legitimate interests
- ask for your information to be transferred to another organisation, where this applies
- withdraw consent at any time, where we rely on consent
To use any of these rights, email info@clemotech.com. Some rights have conditions, and we will explain if one does not apply.
Complaints
If you are unhappy with how we have handled your information, please contact us first at info@clemotech.com so we can try to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk (opens in a new tab) or on 0303 123 1113.
